A digital concierge for a small hotel without an IT team

What a small hotel actually has to run when it adopts a digital concierge without in-house IT: a room QR, guest phones, one staff board and one place to edit content. Soft next step: support@concierge-avant.si.

In a small hotel, the person who would “own the digital concierge” is usually also covering the desk, answering supplier calls and checking tomorrow’s arrivals. There is no IT team to install devices, keep them charged or chase updates. So the real question when you look at a digital concierge for a small hotel is not how many features it has. It is how much new work it adds to people who are already stretched.

That is why the guest side should rest on hardware guests already carry. With Concierge Avant, you place a QR in each room and it opens Avant on the guest’s own phone. There are no in-room tablets to buy, mount, charge or reset between stays. Optional tablets remain possible if you want them, but nothing depends on them. What the hotel maintains physically is a printed code in each room, and that is about it.

The staff side should be just as plain. Requests from Avant land on Porte, a desktop Requests board with four columns: New, Viewed, Confirmed and Completed. Whoever is on shift opens it on the desk computer, sees the room and the service on each card, and moves it along. The board follows what the desk already does, only in one place instead of a phone pile and sticky notes.

Content is the part that quietly fails in small properties, because the binder gets printed once and then nobody has time to reprint it. In Concierge Avant, menus, services and stay information live in one CMS. Change breakfast hours or add a winter offer once, and every room QR shows the new version. No reprint, no hunting for old copies in drawers.

The setup itself is shared work rather than a project you run alone. First install covers getting the QR codes, CMS content and Porte ready for your property, followed by short staff onboarding so the desk is confident with the board. How long it takes depends mainly on your room count and how ready your content is, so it helps to gather hours, services and house rules before you start. After that, content and seasonal changes go through support@concierge-avant.si.

Cost should not need a spreadsheet either. You pay €0.25 per occupied room per day, capped at €7 per room per month, and empty rooms cost nothing. In a quiet week, the bill drops with occupancy instead of sitting on idle licences.

A useful test for any tool you consider: could your smallest shift run it on a busy evening without calling anyone? If you would like to check that against your own property, write to support@concierge-avant.si.
