Where to put the room QR so guests actually scan it

A room QR only helps if guests notice it when a question comes up. A practical placement guide for hotels: where guests look, what to print next to the code, and what to avoid.

You can set up a digital concierge carefully and still hear the same questions at reception. Often the problem is not what sits behind the room QR. It is where the code sits. A QR tucked in a drawer, behind the TV, or on the last page of a welcome folder is a QR most guests never find, so they pick up the room phone instead.

Treat placement as an ops decision, not decoration. Guests look for answers at predictable moments: when they walk in and put the bags down, when they sit on the bed and look for the Wi-Fi, when they wonder about breakfast the night before, when they get ready to leave. Put the code where those moments happen, and the room QR opens Avant on the guest’s own phone right when the question comes up.

Places that tend to work:

  • By the bed or on the desk, readable from where a guest sits, because that is where people already reach for their phone.
  • Next to the Wi-Fi details, if the room has a card for them. Almost every guest looks for Wi-Fi in the first few minutes.
  • Near the door or entry, so it is seen on the first look around the room and again on the way out, when phone check-out is the next step.
  • On the key card sleeve or arrival note, so guests have the code in hand before they reach the room.

A bare code is easy to ignore. Print one short line next to it that says why to scan, for example: “Stay info, services and check-out on your phone.” If you serve guests in several languages, add the same line in those languages. Keep it to one sentence; the details belong in Avant, not on the card.

A few things work against you. Glossy surfaces under a ceiling light can make the code hard to read. A code printed very small or mounted low gets missed. Several different QR codes in one room, one for the menu, one for Wi-Fi, one for a partner offer, leave guests unsure which one to trust. One room QR that opens Avant should be the single path into the stay.

Then test it the way a guest would. Walk into a room with your own phone, sit where a guest sits, and check whether you notice the code before you would reach for the room phone. Scan it in normal room lighting. Make sure it opens Avant with the current stay information. Because content lives in the CMS, changing hours or offers does not mean reprinting the card; only the placement is physical, so it is worth getting right once.

Good placement does not replace a warm welcome at the desk. It makes the routine answers easy to find, so the desk has time for the guests who need a person.
